A note from the Editor

Welcome to the January 2004 issue of the Coretime newsletter and a Happy and Prosperous New Year to all of our Customers.

This months issue provides details of a number of worthwhile new features that have been added to both Tempus Pro (Windows) and Tempus Pro Online (Web) systems. We also have details of two special offers which are open to existing customers for the month of January.

Are your staff on occasions finding it difficult to access Tempus Pro? Normally where clients have a low ratio of licences to staff members, access at peak times can be difficult. Friday evenings, Monday mornings are usually popular times to input timesheets. But do your employees have to wait around for another employee to log out so as he/she can complete their timesheet? It may be that hours/details are being lost as a result of this unnecessary delay. Tip of the Month - Tempus Pro

You can now enter time/expenses from within the WIP Review screen. Simply click on the "clock" icon, and the standard time/expense screen will pop up. This feature is only available while a project review screen is open.

Tip of the Month - Tempus Pro Online

To speed up time entry, use the "History" and "Submit & Stay" features then minimise Tempus Pro - your next time entry will be ready in ONE click.

Use the "Report Manager" to customise your report menu and hide the reports that you never use.

Recently Added Features - Tempus Pro for Windows

The latest version of Tempus Pro, version 3.5.5.24 was released just before Christmas and is now available for downloading from our website. Some of the new features or enhancements include:
Holiday Reports
  Not all holiday records are based on the calendar year. Our Report:- Employee: Productivity: Holiday/Activity report now allows the user the option to run the Holiday Report for the current year or for a year commencing from a user defined date.
Journals Report
  Users now have the option to print a listing of Carry Forwards or Journals for a user defined date range. This report is located in Business Reports, Audit Trail, Carried Forward/Journals.
Employee Expense Summary
  This report has been re-written and should be significantly easier to interpret.
Automatically update Client Year Ends
  Within System Setup/Accounting, users now have the ability to update Client Year End/Filing Dates automatically, advancing the year for all client year ends that have ended on a date earlier than the current date.

Recently Added Features - Tempus Pro Online (Web Version)

The latest version of Tempus Pro Online, version 1.0.4.3 is now available for downloading from our Website. Some of the enhancements/new features in the latest version include:
Client/Project Templates
  Users can now create a Client Template pre-populated with the prescribed Project Templates.
Client Details update
  Client details can now record Company VAT number and whether or not the client is an EU client.
Invoice Daybook enhancement
  The invoice daybook has been modified to highlight whether a credit note has been raised against the listed invoices.
Team Chart enhancement
  The Team Chart now displays the total number of hours recorded by each employee displayed for the week under review.
WIP Review screen
  The total time recorded by all employees is now displayed as a single value on the WIP Review screen.
  Some project names are quite large to the extent that not all characters are available in the drop down list of projects. By hovering over the project name, a "hint" of the full project name is now available.

Training Courses

Starting in February, we will be running concise and detailed monthly training courses on specific aspects of operating Tempus Pro/Online program. These courses will be held on the last Friday of every month, with the Tempus Pro Online training starting at 0930 and Tempus Pro at 1430. Each course will consist of 3 hours practical training followed by a Q & A session for 30 minutes. The total cost of the each course will be a very reasonable Euro 125 per person attending, with numbers strictly limited to 5 attendees per course. Booking a place will be on a first come first served basis and places will only be confirmed on receipt of payment. All courses will be held in our offices at 49 Fitzwilliam Square, Dublin 2.

The following are details of each course and the dates of the first 3 courses:

Course 1: 27 February 2004 (Reporting)

A opportunity to review and understand all of the reports available within Tempus Pro. By having this information, users will be able to “cherry pick” those reports most beneficial to their practice needs.

Course 2: 26 March 2004 (System Setup)

Opportunity to review in depth some of the more advanced Setup options now available within Tempus Pro.

Includes a detailed review of the following:
Creating a Supervisor chain of approval
Use of Strict budgets
Report Manager – set up report profiles for users
Use of Rate Changer
Use of Mandatory fields when creating Client, Projects
Merging activities
Use, and setting up of Project, Client and Employee Analysis Codes.
Using Client and Project templates

Course 3: 30 April 2004 (Good Project Management)

Opportunity to review in depth some of the more advanced Setup options now available within Tempus Pro.

Review in depth the following:
Manage your WIP – understanding Unbilled/Interim Fees
Why you need to tag time when billing
Managing Profit & Losses
Budgeting and use of Budget Alerts

What is ASP?

ASP stands for Application Service Provider or Active Server Pages. An Application Service Provider offers access to Applications (such as Software) and related services on a rental basis via the Internet.

ASP services are an important alternative to purchasing software for all sizes of business, not only for the small organisations with limited IT budgets, but also for the larger firms who wish to outsource some of their IT requirements. Some of the principal advantages of taking the ASP route include

Cost:

The cost of renting a system is usually considerably less than purchasing, installing, implementing, managing and supporting a similar system purchased for installation inhouse.

Speed to Implementation:

With ASP services being bundled with full implementation and support services, customers can typically be up and running with an ASP service far faster than if they were to implement a new system inhouse. Utilising the expertise of the ASP provider, there is less risk of customers having to deal with poorly or partially implemented systems.

Additional benefits:

A remotely hosted system means remotely hosted data with an additional layer of data backup. Data hosted in the customers own offices do not provide the same disaster recovery options as a specialised data hosting centre will provide. These hosting facilities also use the latest firewalls and up-to-date anti-virus software and remove, or at least alleviate, this headache from the customer.

Maketimepay:

Coretime is now marketing its new ASP Solution through Maketimepay.com. This service effectively provides Tempus Pro Online as a web based service for a monthly fee based on the number of active users in the system, all at a fraction of the cost of purchasing Tempus Pro Online outright.

With high speed internet access now available almost countrywide, subscribing to an ASP service such as ours is now a real option. With our ASP service, there is no need to invest in expensive hardware or purchase Tempus Pro Online. You simply pay a flat, all inclusive monthly fee.
