Wildfowl & Wetlands Trust Consulting (WWT Consulting) is the UK’s leading specialist wetland-related environmental consultancy. Based at Slimbridge in Gloucestershire, the organisation delivers high-quality professional services in restoring, designing, creating, managing and interpreting wetlands and their species around the world. All profits from the consultancy are gifted back to the Wildfowl & Wetlands Trust to support its broader conservation work.

WWT Consulting recognised the need for a modern, reliable system to manage time and costs accurately across multiple projects, and selected Coretime as its timesheet and project management solution.

The Challenge

Before adopting Coretime, WWT Consulting tracked time in spreadsheets. Office Manager Monica Gilbertson explains:

“We used to produce individual timesheets in-house, using Excel to enter time against a project code.”

With around 18 staff working across client projects, the spreadsheet-based approach was:

  • Time-consuming — requiring manual updates whenever new staff or projects were added.
  • Unwieldy and error-prone — annual restructures of spreadsheets were necessary, increasing the risk of mistakes.
  • Limited in visibility — project managers could not easily see how time was being spent or how individual projects were performing against budget.

WWT needed a system that would provide accurate, timely data on timesheets and expenses, reduce admin effort, and give project leads straightforward visibility into project performance.

The Coretime Solution

WWT Consulting implemented Coretime to centralise timesheets, project data and reporting. Key benefits included:

  • Immediate access to timesheets — time entries are instantly updated, giving the whole team real-time information.
  • Improved visibility of project budgets — managers can see budgets, time allocation and the proportion of billable work.
  • Reduced administrative work — the system simplifies routine tasks, making it easier to deal with client queries and internal reporting.
  • Training and support — Coretime provided clear demonstrations, onboarding and responsive ongoing support.

Associate Director Matt Simpson comments:

“Coretime gave us a good demonstration of the product and thorough training — they’ve been really helpful. Their support service is excellent too.”

The Results

Implementing Coretime delivered significant improvements:

  • Better project visibility for managers analysing budgets and time spent on key activities.
  • Faster client reporting, especially important with around 20 live projects at any given time.
  • Less time spent on admin, allowing the team to focus more on delivering high-quality consultancy work.
  • More efficient internal processes with consistent, accurate timesheet data.

Matt Simpson adds:

“For us, the main benefit is that our system is now more user-friendly in terms of project managers being able to access information. It’s cut the time spent on routine administrative tasks and enabled us to be more efficient, which means we can focus more on the actual projects.”

Laurie Pottage Director of Sales at Coretime said: “We’re delighted we were able to help WWT Consulting with a time-recording system that suited their needs. Many businesses and organisations see this kind of programme as a luxury, but it generally saves so much staff time and effort that it quickly pays for itself – people can concentrate on their jobs rather than administration”.

Looking Ahead

With Coretime now in place, WWT Consulting benefits from a streamlined, efficient and transparent system for managing time and project information. This allows the organisation to operate more effectively while continuing to support vital global wetland conservation work.
